Anyone running formal meetings (council sessions, board meetings, condo AGMs, project steering committees) needs more than a calendar event. They need a structured agenda their attendees can read in advance, an attendance roster that captures who actually showed up, minutes someone is accountable for approving, and a list of action items that don't disappear when the meeting ends. This module wires all four onto every appointment booking whose booking_mode='meeting', backs the documents in collaborative knowledge.article records (OnlyOffice editing), exposes them through a public meetings portal, and serves a JSON feed so an external website (Drupal, Next.js) can render the same data.
Key Features
Hierarchical agenda items — meeting.agenda.item supports parents and children, sequencing, six item types (procedural, business, presentation, etc.), presenter assignment, and per-item attachments.
Minutes with electronic approval — minutes_state walks through draft → review → approved; approval captures signer, timestamp, and a minutes_signature_hash that detects post-approval edits.
Attendance tracking — meeting.attendance extends RSVPs with actual presence (present / absent / late / left early / remote) per partner or guest.
Action items with assignees — meeting.action.item carries due dates, priority, state, and a follow-up booking link so promises made in the room get tracked across meetings.
Public meetings portal — /meetings surfaces published agendas and approved minutes; /meetings/search provides full-text search via ir.attachment.searchable_text.
Per-user portal — /my/appointments/<id>/agenda and /my/action-items give attendees a single place to prepare for and follow through on their meetings.
JSON feeds + API — /feed/meetings.json for headless consumers and /api/v1/meetings (api_key auth) for programmatic integration.
Legal hold — flag agendas, minutes, and attachments to suspend deletion, with an applied-by and applied-at audit trail.
Auto-Installation
Installs automatically when lynx_appointments and lynx_knowledge are both present. Bridges scheduling with collaborative documents so a single booking is the canonical home of "what we agreed to" before, during, and after the meeting.
